Understanding the Credit Leave Validate Export

A) Issue:

User is confused on the Credit Leave Validate Report and would like an explanation on the report to understand how to track assigned, utilised and expired credit leave.

B) Solution

1. To generate the Credit Leave Validate Report, go to the Leave Module > Modules > Credit Leave 

2. Select your desired employee, click Validate > Export

3. The report is segregated into 3 types of description, assuming this is the first time that you have created a credit leave for the new employee. All numbers reflected in Earned, Expired and Taken are accumulative in nature:

  • Earned: When you create a 1-day credit leave for an employee, a row with the description “Earned” will be created. The expiry of the credit leave will appear under “Remarks”.
  • Expired: On the day of expiry of any credit leave, the system will track in the system if the credit leave has been applied or left unused. No updates to the credit leave will appear on this row. Any changes will be reflected on the following row.
  • Application: If an employee has utilised 1-day credit leave, 1 day will be deducted from the balance.

4. Other Terms: 

  • Balance: The Balance reflect the up-to-date credit leave balance 

Formula:      Earned – Expired – Taken = Balance 

  • Remarks: If the description is Earned, the remarks will reflect the expiry date of the credit leave. If the description is Expired, the remarks will reflect the Earned date of the credit leave.
