Payroll upgrade concern guide

1.  NEW PURCHASE

(A) Case 1 - Print government forms (E & EA) for Data 2008, in order to show non-taxable allowance in EA Form (Part G) & E Form (Column F), whereas taxable allowance in EA Form (Part B) & E Form (Column E).

Steps to maintain

i.  Go to [Monthly & Yearly > 12 Months Figures Update]Key in all types of Salary Payment (except Allowance as it will be maintained in later steps) and Government Contribution.
ii.  Go to Monthly & Yearly and run ‘Calculate 12 Months Figures’.
iii. Go to Monthly & Yearly and run ‘Recalculate MTD, YTD, Taxable AW, OT & DED’.
iv. Go to [Government > Income Tax Reports > CP 8A].
     o Click ‘Generate’, then ‘OK’ to generate EA Form.
     o Click ‘Update’ button.
     o Click ‘Taxable Income/Allowance/Benefit’ tab. Edit ‘Tip Kasar, Saguhati, Elaun’ by key in taxable amount for Year 2008.
     o Click ‘Non-Taxable Allowance/Benefit’ and key in non-taxable amount for Year 2008.
     o Click ‘Save’. (NOTE: After save the updates, do not have to re-generate EA form again. Else, changes/updates that have been entered
        will be cleared.)
v. Print Government Forms or Monthly & Yearly reports.
vi. Run Year End for new Payroll Year.

(B) Case 2 - Continue Payroll in the same year (Assume users maintained Payroll for both January and February manually or at other third party payroll software system).

Steps to maintain

i.   Go to [Monthly & Yearly > 12 Months Figures Update]Key in all types of Salary Payment (except Allowance as it will be maintained in later steps) and Government Contribution.
ii.  Go to Monthly & Yearly and run ‘Calculate 12 Months Figures’.
iii. Go to Monthly & Yearly and run ‘Recalculate MTD, YTD, Taxable AW, CT & DED.
iv. There are two methods used to maintain allowance as below:
• Edit taxable allowance at EA Form (Part B) and non-taxable allowance EA Form (Part G) in the end of year. It means that when comes to December, users need to do the following steps:
   • Month end for December Payroll.
   • Go to [Government > Income Tax Reports > CP 8A],
      o Click ‘Generate’, then ‘OK’ to generate EA Form.
      o Click ‘Update’ button.
      o Click ‘Taxable Income/Allowance/Benefit’ tab. Edit ‘Tip Kasar, Saguhati, Elaun’ by adding in the taxable allowance amount of January             and February into current field.
      o Click ‘Non-Taxable Allowance/Benefit’ by adding in the non-taxable allowance amount of January and February into particular field.
      o Click ‘Save’. (NOTE: After save the updates, do not have to re-generate EA form again. Else, changes/updates that have been entered
         will be cleared.)
   • Print Government Forms or Monthly & Yearly reports.
   • Run Year End to proceed to a new Payroll Year.

       • Edit taxable allowance at EA Form (Part B) and non-taxable allowance EA Form (Part G) in dbf files by following the steps as below:
           • Copy foxcmd.exe and paste into company data folder.
           • Double click foxcmd.exe.
           • Then key in the following command and edit the particular .dbf file:
              o For pay_12m.dbf, type
                 Use pay_12m, press enter
                 Browse, press enter
                 - Look for column 'TXAW'. Then enter the 12 Months Taxable Allowances amount which this amount will include figure from January until
                   December in the same payroll year.
              o For pay_ytd.dbf, type
                 Use pay_ytd, press enter
                 Browse, press enter
                 - Look for column 'TXAW'. Then enter the Yearly Taxable Allowance amount which this amount will include figure from January until
                   December in the same payroll year.
              o For earefl2m.dbf, type
                 Use earefl2m, press enter
                 Browse, press enter
                 - Look for the particular column and enter the 12 Months Total nontaxable allowance amount (Refer to Appendix I for the description of
                   each column).


2.  UPGRADE

(A) Case 1 - Print government forms (E & EA) for Data 2008 in new version, in order to show non-taxable allowance in EA Form (Part G) & E Form (Column F), whereas taxable allowance in EA Form (Part B) & E Form (Column E).

• Upgrade Steps

In Previous Version

i. Month end for December 2008
ii. Generate EA form
iii. Upgrade to New Version

In New Version

i. Go to [Government > Income Tax Reports > CP 8A].
   o Click ‘Update’ button.
   o Click ‘Taxable Income/Allowance/Benefit’ tab. Edit ‘Tip Kasar, Saguhati, Elaun’ and key in taxable amount for Year 2008.
   o Click ‘Non-Taxable Allowance/Benefit’ and key in non-taxable amount for Year 2008.
   o Click ‘Save’.
ii. Print Government Forms and other reports

• Things must do before & after upgrade:

Before Upgrade
i. As stated at ‘In Previous Version’ in 2.(A).
ii. Make sure all amount in all types of reports are correct and accurate.

After Upgrade
i. As stated at ‘In New Version’ in 2.(A).
ii. Do not generate EA Form again.
iii. Do not make changes on amount for Data 2008 at ‘12 Months Figures Update’.
iv. Do not run ‘Calculate 12 months Figures’.
v. Do not run ‘Recalculate MTD, YTD, Taxable AW, OT & DED’.
vi. Do not run any other process.
vii. Users are allowed to print Government Forms and other reports only.


(B) Case 2 - Continue Payroll in the same year

• Upgrade Steps

In Previous Version

i. If users wish to process next month's payroll in new version, finalize the payroll and month end for current month. In the new payroll month, run process pay. Then, upgrade to new version and maintain payroll for this new payroll month.
ii. If users wish to process current month's payroll in new version, run process pay for current month. Then, upgrade to new version and continue payroll for next month.

In New Version

i. Reset Personnel Tax Category at [Personnel > Add/Update Employees](Personnel Details).
ii. Go to [Personnel > Add/Update Employees](Setting - PCB Setting). Set to:
   o YES - If he/she is the owner/have control to the current company.
   o NO / FOREIGN - if he/she is the employee of current company or he/she is a foreign worker.
iii. Go to [Personnel > Add/Update Employees](Previous Relief). Maintain 'Previous Company Relieved Amount' for previous months relief(s), if there is any.
iv. Go to [Housekeeping > Setup > Table Maintenance > Allowance Table]Assign EA Column and Relief Code to allowance item, if it is applicable.

• Things must do before & after upgrade:

Before Upgrade
i. As stated at ‘In Previous Version’ part in 2.(B).

After Upgrade
i. As stated at ‘In New Version’ part in 2.(B).
ii. Do not make changes at '12 Months Figures Update'.
